But when you're automating quote generation, invoice creation, and general ledger posting across even a modest customer base, task counts spike fast—and your monthly bill follows. We ran a real workflow through Zapier, Make, and n8n to see where the break-even point actually sits. How Zapier's per-task model breaks at scale Zapier counts a "task" as a single action by an automated Zap. A workflow that moves a lead into your CRM, sends a Slack notification, and creates a calendar event: three tasks. Now multiply that by the number of times it runs each month. The math accelerates fast. Make and n8n's flat-rate alternative Make and n8n take a different approach: flat monthly subscription, unlimited executions within your plan tier. Make's ₹500/month plan includes up to 1,000 operations per month. n8n's self-hosted option or cloud plan similarly offers unlimited workflows. Critical distinction: Make and n8n count an "operation" or workflow execution differently than Zapier counts tasks. A full workflow (quote to GL entry) is typically one execution in Make or n8n, not five separate tasks. 100 cycles/month : Make ₹500 flat = ₹500/month 500 cycles/month : Make ₹500 flat = ₹500/month 1,000 cycles/month : Make ₹500 flat (or step up to ₹1,000 tier for headroom) = ₹500–₹1,000/month At 1,000 workflows/month, Zapier costs ₹2,400–₹4,800. Make stays at ₹500–₹1,000. Testing the quote-to-GL workflow in real conditions Theory is clean. Practice is messier. We built and tested the same workflow in all three platforms: Scenario: 500 quotes/month Each quote triggers: Validation: Is the customer in the CRM? If not, create contact. Cost: ₹500/month (well within the standard plan limit of 1,000 ops/month). n8n (cloud): Same workflow structure. Cost depends on plan: base tier at roughly ₹500–₹800/month for 1,000+ executions, with no overage. Result at 500 cycles/month: Zapier ₹2,400–₹2,800. Make and n8n ₹500–₹1,000. Savings: ₹1,400–₹2,300/month. Scenario: 2,000 quotes/month (high-volume agency or platform) Same workflow, scaled. Zapier would tally roughly 10,000–14,000 tasks (assuming 5–7 per cycle). Why task counting matters—and why Make and n8n win on math Zapier's pricing model assumes granular task-level billing is transparent. In practice, it incentivizes complexity: every conditional branch, every API call, every Slack notification is a counted task. Teams often redesign workflows to reduce task count, which can actually hurt their automation quality. Make and n8n don't penalize you for adding conditional logic or extra steps. A complex workflow with 20 steps costs the same as a simple one—both are one execution. This encourages better workflow design: more robust error handling, richer data transformation, better audit trails. Automation platforms that bundle this logic natively (like Orin's no-code automations) remove the pricing distortion altogether. At 1,000 tasks/month, Zapier's true cost exceeds Make by ₹1,400–₹2,400. Scale to 2,000 and the gap widens to ₹5,300–₹7,800/month. Feature parity and the hidden switching cost Zapier's installed base is massive. Most SaaS platforms have a Zapier integration first, Make second, n8n rarely.
