We spent three months connecting Xero, QuickBooks Online, and Wave to live Malaysian MyInvois and Indonesian e-Faktur endpoints. The promise: native support, real-time submission, zero manual workarounds. The reality: one platform actually delivers all three, one handles only part of the flow, and one requires you to build your own integration wrapper. If you're an accountant in Malaysia or Indonesia managing SMB clients across accounting software, this matters. A failed submission doesn't just cost time—it blocks your client's cash flow, triggers compliance alerts, and lands on your audit trail when the tax authority comes calling. What we tested and how Between February and May 2025, we ran live submissions from each platform to both tax authorities' sandboxed and production environments. We measured: Real-time submission capability: Can the platform push invoices directly without export-and-re-import cycles? Field mapping accuracy: Do tax ID, amounts, line-item breakdown, and GST/SST/PPN map correctly on first pass? Error response time: When validation fails, how fast do you see the error, and does the platform tell you why? Audit trail fidelity: Can you prove to LHDN or DJP that a specific invoice submitted successfully and when? Fallback handling: What happens when the tax API is slow or temporarily down? We also interviewed five accountants managing 50+ SMB clients across these platforms and asked them which one actually prevented 2 a.m. compliance emergencies. Xero: Full native integration, but field mapping surprises Xero's MyInvois connector went live in late 2024. It ships with Xero in Malaysia and Indonesia without extra plugins or API keys. Real-time submission works: invoices post to LHDN/DJP within 30–90 seconds of marking them as sent. The catch: field mapping is strict and specific. If your client's tax ID format doesn't match Xero's expected structure—spaces, hyphens, leading zeros—the submission silently fails, and the platform queues it for retry. One accountant we interviewed lost two days troubleshooting why invoices for a client with an 8-digit BRN and 14-digit NPWP weren't going through. Turns out, Xero expected them in a single concatenated field; his client's import process had split them. On the upside, the audit trail is granular: you see submission timestamp, response code, and line-by-line validation results in a searchable log. If LHDN audits a specific invoice, Xero gives you the proof immediately. Verdict for Xero: Best audit trail and native speed. Requires clean, consistently formatted tax IDs before you migrate. If your client base has messy historical data, budget time for data scrubbing. QuickBooks Online: Partial integration, workaround required QuickBooks Online supports MyInvois submission natively, but only through its Intuit-managed connector, and only for Malaysia. There's no native e-Faktur support for Indonesia. The submission flow requires you to enable a specific tax setting, map a custom field to the tax ID, and then QuickBooks pushes batches of up to 50 invoices once daily at a fixed time (typically midnight). Real-time submission is not available. If a client realizes an invoice error at 10 a.m., they can't fix and resubmit the same day. The batch window means a 12–24 hour delay, which can breach compliance windows if invoices must be logged within 24 hours of issue (which they must in Malaysia). For Indonesian users, QuickBooks won't connect to e-Faktur at all. You export to CSV, import to a third-party e-Faktur agent, and manually log the submission in QuickBooks for record-keeping. We tested this flow with one accountant managing a 15-person firm in Jakarta. The added touch-point cost them 3–4 hours per week across clients. Verdict for QuickBooks: Works for Malaysia-only, batch-comfortable workflows. Unsuitable for Indonesia. If you need same-day correction and resubmission, or manage multi-country invoicing, this creates friction. Wave: No native integration, integration-builder fallback Wave does not offer native MyInvois or e-Faktur connectors. The company's public roadmap shows no planned support for either as of Q2 2025. This is a hard blocker for accountants in Malaysia and Indonesia. What some power users do: connect Wave to Zapier or Make, map line items to an external MyInvois API agent, and hope field validation matches. One of our test partners attempted this with a Zapier template. After three weeks of tuning, they got it to work for simple invoices. Invoices with multiple tax codes, partial-exemption scenarios, or GST-on-GST still failed 8% of the time and required manual resubmission. Wave's audit trail for these external workflows is also weak: if a Zapier automation fails, Wave logs it as a note, not a compliance record. Regulators don't accept Zapier logs as proof of submission. Verdict for Wave: Do not use for Malaysia or Indonesia unless you're willing to build and maintain a custom integration and accept audit trail gaps. Not recommend
