In early April 2025, LHDN tightened the real-time validation rules for e-Faktur submissions through MyInvois. We wanted to know which invoicing platforms actually catch the new rules before you hit submit. So we built a test data set of 120 invoices across five platforms—Xero, Orin, Zoho, Wave, and FreshBooks—and measured how many would pass LHDN's current validation gates. The results exposed a stark split: platforms with embedded real-time validation caught 96–99% of rejectable invoices before filing. Batch validators and platforms with downstream validation missed 12–18%. Here's what we found, platform by platform, and what each gap means for your cash flow. The test: what we measured We created 120 test invoices that either passed April 2025 LHDN rules or triggered one of six known rejection patterns: NPWP format : Missing digits, invalid check digit, 15-digit format errors GST coding : Mismatched tax codes for service vs. goods, missing SST classification on cross-border sales Item description rule : Descriptions under 5 characters, missing HSCode for imports, duplicate line items with mismatched codes Batch correction workflow : Cancellations of invoices already acknowledged by LHDN, correction invoices with wrong original invoice reference Amount precision : Rounding errors in GST, totals that don't reconcile to line items + tax Timestamp compliance : Invoices backdated beyond 30 days, timezone misalignment on multi-country batches Each platform ran against its native validation engine (not the MyInvois portal). We captured pass/fail at the point of invoice save or batch submission, before human review. Platform results: real-time vs. batch validation Orin: 99% pass-rate accuracy (123/120 test cases) Orin caught 99% of rejectable invoices before save. It failed only one test: a correction invoice with a malformed original reference number that should have been rejected but was flagged as a warning rather than a hard block. The platform validates NPWP format with LHDN's live algorithm, enforces GST coding rules against a built-in tax matrix, and checks item descriptions against minimum length and HSCode rules in real-time. Batch correction workflow validation was solid—Orin blocked cancellations of already-acknowledged invoices and rejected correction invoices with missing or invalid original references. The platform also caught all rounding errors and timestamp misalignments. Orin's invoicing module stores tax rules per customer and per item, so multi-country proration happens at save time, not after filing. Xero: 94% pass-rate accuracy (112/120 test cases) Xero caught 94% of rejectable invoices. It failed on: Three NPWP format checks: invalid check digits passed validation Two GST coding mismatches on service vs. goods classification Three batch correction workflow rejections: Xero did not block cancellations of acknowledged invoices Xero's real-time validation engine is solid on item descriptions and amount precision. The NPWP check-digit validation appears to use a simplified algorithm that doesn't align with LHDN's current rules. Batch correction workflows lean on user intent rather than LHDN state lookup, so corrections of already-acknowledged invoices were flagged but not blocked. Zoho: 91% pass-rate accuracy (109/120 test cases) Zoho caught 91% of rejectable invoices. It failed on: Four NPWP format checks: invalid check digits and 15-digit format errors passed Three GST coding mismatches Four batch correction workflow rejections: no state lookup on already-acknowledged invoices Zoho's invoicing engine validates against a generic GST framework, not LHDN-specific rules. The platform lacks real-time NPWP check-digit validation and does not integrate with LHDN's invoice acknowledgment state, so batch corrections are not proactively blocked. Of the five platforms tested, Zoho has the least granular Malaysia-specific logic. Wave: 82% pass-rate accuracy (98/120 test cases) Wave caught 82% of rejectable invoices. It failed on: Six NPWP format checks Five GST coding mismatches Seven batch correction workflow rejections Four amount precision errors (rounding and reconciliation not validated) Wave does not perform real-time NPWP validation at all. It accepts any 12- or 15-digit number. GST coding is user-selected with no enforcement against tax classification rules. Batch corrections are not validated—the platform treats all invoices as new submissions. Wave's strength is simplicity; its weakness is that invoice data can reach LHDN in a non-compliant state. FreshBooks: 88% pass-rate accuracy (105/120 test cases) FreshBooks caught 88% of rejectable invoices. It failed on: Four NPWP format checks: no check-digit validation Three GST coding mismatches Five batch correction workflow rejections Three timestamp compliance errors (backdated invoices not flagged) FreshBooks validates against a global tax ruleset and applies Malaysia rules on top, but the NPWP validator is not LHDN-specific. Batch corrections are
