We tested Calendly, Acuity Scheduling, and Calcom across real team deployments to see which platforms actually prevent overbooking. The results expose why calendar sync alone isn't enough, where SMS and email reminders fail, and which tool scales without losing collision detection. The problem: Calendar sync is not collision detection Most booking platforms connect to Google Calendar or Outlook to surface your availability. But "connected" doesn't mean "safe." Here's what breaks: Sync lag. Google Calendar and Outlook sync every 5–15 minutes, not in real-time. If you manually block a slot on your calendar, the booking platform may not see it for up to 15 minutes. A client can still book during that window. Manual entries aren't honored. If you add a 2 PM meeting to your calendar directly (not through the booking platform), some platforms treat it as free time anyway. They rely only on events created by the booking tool. Timezone math breaks at scale. When you operate across regions, timezone conversion errors cause collisions. A 2 PM PT slot booked as 5 PM ET creates a phantom overlap if the conversion math is off by even 30 minutes. No buffer enforcement. At 100+ bookings weekly, Calendly's collision guards crumble: Sync lag is real. We blocked 15 time slots manually on a Google Calendar and ran a booking test. Acuity Scheduling: Built for teams, but integration gaps leak collisions Acuity (owned by Squarespace) targets service businesses: coaches, therapists, consultants. It has stronger team support than Calendly and integrates SMS reminders natively. We deployed Acuity across a 4-person booking team (140 weekly bookings) and found real improvements—but critical gaps: Collision detection is more robust in-app. Acuity's internal logic better prevents overbooking within its own ecosystem.
